The Oceans Ballroom (Exhibit Hall) is carpeted, so exhibitors are NOT required to purchase flooring/carpet.

Due to the size and availability of the loading dock at the Renaissance Orlando at SeaWorld®, exhibitors are required to send all shipments for T&D World LIVE! 2026 to the GEMS Advance Warehouse:

A Certificate of Liability Insurance, or "COI," is required for ALL exhibitors participating in the event. * A COI is obtained by the Exhibitor’s insurance carrier, or Exhibitors may purchase temporary event insurance through our official vendor Rainprotection Insurance. Please submit the COI as soon as possible to be allowed access to the exhibit hall floor at move-in.

GEMS Move Out Instructions - GEMS
Move-Out begins Wednesday, September 2, at 6:30 pm. Drivers must check in by 7:00 pm.

"Empties" return will begin once all attendees have left the exhibit hall floor. The return process is expected to take a few hours, so please be patient. Exhibitors may hand-carry smaller items out during this time but please note the use of pallet jacks/flat carts are not allowed.

OUTBOUND BOL's AND LABELS:
A GEMS bill of lading must be turned in to the GEMS Service Desk for ALL outbound shipments. Shipping is not an automatic process. If freight is left behind and/or paperwork is left in your booth space, your items will not be sent out.

GEMS's show carrier, Airways Freight, is always available to assist you with your shipping needs. If you choose to use the preferred carrier or you need a quote for your freight, please reach out to Lauren White at lwhite@airwaysfreight.com.
GEMS is not responsible for any shipments left on the floor without labels or outbound paperwork. Any shipments left behind will be returned to the warehouse at the exhibitor's expense.

SMALL PACKAGE CARRIERS
FEDEX and UPS carriers are more than welcome to pick-up during move-out. You must schedule a pickup and provide pre-paid shipping labels associated with your account number. If FEDEX or UPS cannot pick up during the specified hours, we can return the items to our warehouse for a fee, and they will be sent out with our daily pickup. Please record all your tracking numbers!
